The Stalls Coordinator is required to find and book stalls for the Cowley Road Carnival, due to take place on the Cowley Road and in South Park on 3 and 4 July 2010, reflecting a diverse range of food, craft and other interests, contributing to the interest and activity of Carnival, and generating essential income for the Carnival.
The Stalls Coordinator is required to work in a freelance capacity, between February and July 2010. A fee of £800 is available, and a commission is negotiable on any income generated over an agreed minimum.
KEY TASKS
1. Take and make enquiries and manage bookings.
2. Research and invite stall holders to provide a mixture of high quality, international flavoured food, craft and community stalls representation, including local traders, farmers' markets and small food suppliers, not-for-profit organisations and stall holders who took part in Carnival In The Park 2009.
3. Maximise the potential income from stalls and achieve a minimum agreed income.
4. Liaise with other Carnival staff and designated trustee/s regarding the traders on the Cowley Road and St Clements who wish to attend and trade at the carnival.
5. Ensure all the traders have the correct paperwork and permits regarding food hygiene and public liability insurance, liaising with the Carnival production team.
6. Liaise with the production management team regarding the alcohol licensing arrangements for the local traders
7. Liaise with the trustees with financial responsibility to devise and operate an effective system for obtaining and monitoring payment for stalls and repayment of deposits.
8. Ensure the necessary paperwork for this is available as downloads on the carnival website or by email, post or other methods accessible by the stall holders.
9. Keep accurate records and contact lists and provide regularly updated information for the Carnival production team
10. Attend meetings and keep in regular communication with Carnival staff and trustees to ensure good communication and resolve any hitches
11. Carry out the work with a view to developing and strengthening relationships with local traders.
12. Work alongside volunteers to oversee the arrival and departure of the traders at the Carnival event and to communicate any difficulties to the event management team.
13. Prepare and present an evaluation report after the event to the Board of Trustees.
14. To prepare and deliver to the Board of Trustees lists of stallholders who participated in Carnival, with contact and other relevant details.

The sun shone on the estimated 30,000 people of all ages who filled South Park on Sunday for Carnival in the Park, this year's alternative to the Cowley Road Carnival celebrating diversity in East Oxford. The event was truly representative of the many cultures represented in East Oxford and Oxfordshire, with locals and visitors enjoying the talent of local musicians, dance groups and other performers, food from around the world, and the pleasure of being together.
The procession, made up of 28 schools and community groups decked in fantastic costumes, wound its way down the hill in the park, smiling, dancing and drumming, to the U Dance Festival dance stage for their final bow.
The event was proclaimed a resounding success by many, and the organisers, East Oxford Action Charity, extend their thanks to Oxford City Council, Oxfordshire County Council, Arts Council England and MINI Plant Oxford, and to the many volunteers and people who helped out in so many ways, for making it possible.
Carnival attenders commented particularly on the 'great atmosphere and great entertainment for all ages', the opportunity to 'relax and chill out', and 'the Carnival friendship, and people coming together, with everyone happy to be here'
East Oxford Action Charity Trustee, Paul Wolf, said: 'One thing is certain - that the support from volunteers, traders, community members and local organisations is the secret to this success story. We thank you all for your invaluable contribution to this truly community led event.'

Carnival is back, with a slightly different look! Sunday 5 July will see South Park as the venue for Carnival in the Park, a celebration of the diverse communities of East Oxford, with colour and flair, through Home Grown music, dance, art, culture and food, with roots from around the world.
Many of the Cowley Road Carnival's familiar and favourite fancies will be on offer: procession by schools and community groups, great music and dance line ups across two stages, DJ's, open mic areas, family activities and workshops as well as fabulous international flavoured food and a craft village.
