Sponsorship


We have applied for funding from the City and County Councils and the Arts Council, but we also need support from the local businesses which will benefit from the thousands of people attracted to the area during and after Carnival.  We need both cash and contributions ‘in-kind’ to make Carnival possible

In-kind support could be, for example:
•    Providing stewards for the event
•    Inviting the public to use your toilets during the event
•    Committing to help clean the road and pick up litter during/after the event
•    Providing refreshments for volunteers and performers
•    Providing meeting space or office space for Carnival workers
•    Providing your premises for public meetings before and after the event
•    Putting collection tins and publicity in your premises
•    Loan of marquees, chairs, tables or other equipment for the event

What we can offer you as a Carnival sponsor
All sponsors, for whatever amount, will receive:
•    An official ‘I support Cowley Road Carnival’ certificate to display
•    A public thank you on twitter
•    Your name listed on the Cowley Road Carnival website
•    A letter of thanks which you can use to show your contribution towards Corporate Social Responsibility.

Sponsorship can either be cash, or a combination of cash and in-kind support.

Notting Hill sponsors - £200 and over (including value of in kind support)

This is an exclusive sponsorship offer for your business only: the opportunity to have your logo on 200 official Cowley Road Carnival 2010 t-shirts. 25% of these will be worn throughout the event by our official stewards, with the remainder to be sold to Carnival-goers during and after the event. This is a sponsorship opportunity that will last over a year.
 
Water bottle sponsors - £750

This is an exclusive sponsorship offer for your business only: the opportunity to have your logo on 200 official Cowley Road Carnival 2010 water bottles. 25% of these will be used by our official stewards throughout the event, with the remainder to be sold to Carnival-goers. This is a sponsorship opportunity that will last over a year.

Cowley Road Carnival 2010 Info Point sponsors - £300

The Information Point will be open throughout the event in a central location, to give out programmes, answer questions and serve as a central point for Carnival volunteers, participants and audience. Your logo will be placed on Info point flags and signs, which will be seen by all Carnival-goers.

Carnival in the Park will host a number of appropriate and diverse food and non-food stalls (including clothing, art, crafts, gifts, not-for-profit organisations, information-only stalls, charities and relaxation services). Anyone interested in trading should contact carnivaltraders@googlemail.com.

INFORMATION FOR TRUSTEES AND ADVISORS 

Cowley Road Carnival has developed over the last 7 years into Oxford's largest community led, outdoor arts event, involving many and varied communities from East Oxford and beyond.  It grew out of the social regeneration work of East Oxford Action, a social enterprise company whose work is now nearing its end. This year responsibility for the Carnival has passed to a separate charity, East Oxford Action Charity, whose aim is to secure the long term future of the Carnival, to develop it as one of the region's biggest multicultural community arts events, and to widen the involvement of and benefit to local communities and businesses.  

To do this, the charity needs enthusiastic and committed trustees and advisors – potential trustees please read on!  If you are more interested in taking on the role of an adviser, please scroll down.  

Trustees  

The charity needs trustees who are interested in developing the vision and strategy for Carnival, and overseeing the delivery of the Carnival and related workshops and smaller events.   

Trustees have ultimate control and responsibility of the organisation.  They are expected to attend meetings, act as ambassadors for Carnival and be committed, involved and representative of the various parts of the local community.  As critical friends to staff, contractors and partners, they would be open to exchange views and discuss issues, always with the best interests of Carnival at heart.  

Trustees bring different skills and experience to the Board, to complement each other and to inform and support different areas of the charity's work.  

The Board of Trustees meets regularly, currently every fortnight while planning is intense, less frequently as the organisation develops.  Training for trustees will be offered where appropriate.  

East Oxford Action Charity is registered as a limited liability company (company no. 6181276) and a charity (no. 1118902).   The role of the trustees is voluntary – unpaid except for reimbursement of expenses, and with no personal benefit.  The responsibilities of charity trustees are outlined below. 

Trustees' job description

The success of a charity depends to a large extent on the way trustees oversee the organisation's managerial responsibilities. These include:

  • strategic planning;
  • accountability to funders and stakeholders;
  • management monitoring of staff, contractors and volunteers
  • evaluating the work of the charity;
  • relations with local groups and businesses, and partner organisations;
  • managing the charity's property and any leases;
  • managing the charity's public relations and representing the views of the charity;
  • contracting.
Financial responsibilities Trustees will need to understand:
  • accounting rules and regulations;
  • approving and monitoring budgets;
  • exercising control over income and expenditure and managing reserves;
  • fundraising policy and activities;
  • charity law and trading activities;
  • the tax affairs of the charity;
  • managing any investments;
  • insurance;
  • preventing and detecting fraud and other irregularities.
Legal responsibilities Charity trustees are ultimately responsible for everything the charity does and how it does it. Though you could be held personally liable, very few trustees who have behaved honestly have suffered financial loss as a result of their trusteeship. Specific areas trustees need to pay heed to are:
  • Charity legislation;
  • The governing document (the Memorandum and Articles of Association);
  • Conflict of Interest;
  • Payments to trustees;
  • Insolvency and wrongful or fraudulent trading;
  • Political activities
  • Trustees annual report.
Advisors  The skills and experience of voluntary advisors can be very valuable to assist and inform the work of the Board of Trustees, working with the Trustees themselves or with staff or contractors of the charity.  Advisors would not have the same responsibilities as the Trustees, and their terms of reference would be agreed with the Trustees to ensure that there is clarity and consistency in decision making across the charity.    Advisors with the following areas of knowledge and involvement would be very welcome:  
  • Community representation and community engagement
  • Local businesses
  • Fundraising and sponsorship
  • Artists and performers
  • Outdoor events
  • Musicians and sound technicians
  • Education and training
  • PR, communication and marketing
  • Legal and finance
  • Business planning
  • Volunteering
  • Evaluation

FREQUENTLY ASKED QUESTIONS

Q         When is the next Carnival?

 A          The Cowley Road Carnival always takes place on the first Sunday in July.                             

Q         How can I get involved in the Carnival?

 A.         We'd love as many people as possible to be involved in our Carnival, though please bear in mind that we also have certain limitations on the numbers of participants we can accept, due to factors including the conditions within our licence, available stage time and deadlines for programmes and marketing.  Don't let that put you off registering your interest, though! Simply email to carnival@eastoxford.com.                                                 

        How do I apply for a stall at this year's Carnival?

 A          Having a stall at the Carnival is a great way of selling to a large, diverse selection of potential customers. To apply, simply email it to: carnival@eastoxford.com

Q         How can I find out what will be happening?

A          Keep an eye on the local press – normally, there is pretty good coverage in the weeks prior to the Carnival.  Also, details will be added to the website as soon as they are confirmed.  On the day itself, programmes, running orders and site maps will be available.

Q         What performing Arts events will there be?

 A          Carnival prides itself on the variety & diversity of local talent that we welcome to our event. If you woudl like to take part, please contact carnival@eastoxford.com

                 
Q         Is there parking available?

A          Absolutely not, this is East Oxford!  Cycle, walk or get a bus!  If you must drive then park at one of the Park & Ride locations around the city, and then get a bus to St Clements or the City Centre. The Cowley Road is about a 2-minute walk from the Magdalen Bridge. 

Q         Will a photo of my child appear on this website or be used within any material produced by Carnival?

A          We only use photos from our press photographers who will always ask permission to take a close-up photo of your child, though we cannot guarantee that you - or your child - will not be in the background of any photos taken.  If you have any concerns, please email us.                         

        What does the Carnival do to ensure the safety of participating children and vulnerable persons?

A          We have a detailed Children and Vulnerable Persons (CVP) procedure that all staff are briefed on. 

        Who runs the Carnival?

A          The Carnival  is run by a dedicated Carnival charity called East Oxford Action Charity, charity no. 1118902,  company no. 6181276.  The trustees of the Charity are Paul Wolf (chair), Junie James, Geno Humphrey, Euton Daley  and Sue Hunt.   A number of other organisations are involved within elements of the event, such as Fusion Arts, Ark-T, Pegasus Theatre and many more. 


        How is the Carnival funded?

A          Carnival is not a Council event.  We receive money from a number of sources.  Our lead supporters are:  Arts Council England  & Oxford City Council.  We welcome support from a number of smaller donors & businesses, who provide valuable assistance with areas like sponsorship and advertising.
